We respect your privacy. This policy explains how MedsReviewed collects, holds, uses and discloses personal information — including health information — in connection with our independent medication review services for Workers Compensation and Compulsory Third Party (CTP) insurance claims.

PRIVACY FRAMEWORK

MedsReviewed handles personal information in accordance with applicable Australian privacy requirements. That includes the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and applicable NSW health privacy requirements where they apply to our services.

This policy is intended to help you understand our practices. It is not a guarantee of legal compliance in every circumstance.

• declined conditions or medications
• Certificates of Capacity
• pharmacy receipts
• medical reports
• correspondence from or between treatment providers
• other health information provided to support the review

We may receive information directly from an individual, or from an insurer, case manager, treating practitioner, or another authorised referring party.

We do not ask you to provide categories of information beyond what is needed for the services described in this policy.

HOW INFORMATION IS COLLECTED

We may collect personal and health information through:
• our Microsoft Forms referral form (including when it is embedded on our website or opened in a separate browser window)
• supporting documents emailed to us

• website enquiries or chat, where those features are used
• information provided by insurers, case managers and treating practitioners in connection with a referral or review

WHY WE COLLECT AND USE INFORMATION

We collect and use personal and health information to:

• receive and assess referrals

• arrange and provide medication review services

• select and assign an appropriate contracted pharmacist

• communicate with insurers and case managers

• communicate with treating practitioners where appropriate

• prepare medication review reports and recommendations

• support implementation or follow-up where that forms part of the service

• carry out reasonable administration associated with providing the service

We do not use this information for advertising or marketing purposes under this policy.

DISCLOSURE OF INFORMATION

Relevant personal and health information may be disclosed to people and organisations involved in providing or coordinating the service, where appropriate. This may include:

• the contracted pharmacist assigned to the case

• the relevant insurer or case manager

• treating practitioners, where appropriate

• technology and service providers we use to operate the service, including Microsoft, Wix, and our email and cloud service providers

We do not sell personal information.

CONTRACTED PHARMACISTS

MedsReviewed engages contracted pharmacists to conduct medication reviews.

Initial access to referral information is limited. Once a pharmacist is selected for a case, we provide that pharmacist with the claimant and referral information needed to perform the review.

STORAGE AND SECURITY

Referral information is collected using Microsoft Forms. Supporting documents are commonly received by email. Electronic clinical and report files may be stored using Microsoft OneDrive.

We take reasonable steps to protect personal and health information from misuse, interference and loss, and from unauthorised access, modification or disclosure. No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.

OVERSEAS PROCESSING AND STORAGE

MedsReviewed uses third-party cloud and technology providers (including Microsoft, Wix, and email providers). Those providers may process or store information in Australia and/or overseas, depending on their infrastructure and how their services are configured.

We have not verified that all information remains exclusively in Australia. We take reasonable steps regarding how these providers handle personal information for the services they supply to us.

RETENTION AND DISPOSAL

MedsReviewed retains health information in line with applicable NSW health-record retention requirements.

  •   For health information relating to an adult, we retain it for at least 7 years from the last occasion on which MedsReviewed provided the health service.

  • Where health information was collected while the individual was under 18, we retain it until the individual reaches 25 years of age.

We may retain information for longer where required or permitted by law, or where it is reasonably necessary for legitimate legal or administrative purposes.

When health information is lawfully deleted or disposed of, MedsReviewed will handle disposal securely and maintain any disposal record required by applicable NSW law. We do not describe disposal here as an automated system.
